Which providers need to sign a BAA?
Under HIPAA, any vendor that stores patient information for you is a business associate and needs a signed Business Associate Agreement. Vendors that only carry data from point A to point B, like your internet carrier, generally fall under the conduit exception. The problem is that phone and fax services often store more than practices realize.

What happens to our EHR if the internet goes down?
If your EHR is cloud-hosted, like eClinicalWorks, staff lose access to charts, scheduling and e-prescribing until the connection returns. A backup connection from a second carrier switches over automatically, usually in seconds.
Is our phone system HIPAA compliant?
It depends on whether the provider stores voicemails or recordings and will sign a Business Associate Agreement. We review your current setup and only recommend providers that sign a BAA.
Can we keep our phone and fax numbers?
Yes. Existing numbers can almost always be moved to a new provider. We handle the porting and schedule the cutover outside office hours.
Do we still need a fax machine?
No. Cloud fax sends and receives through your computer or EHR, keeps your fax numbers, and creates an audit trail that a hallway fax machine can’t.
What is POTS line replacement?
POTS lines are the traditional copper phone lines many alarms, elevators and fax machines still use. Carriers are phasing them out and raising prices. Replacement devices use cellular service to keep those systems working, usually at a lower monthly cost.
Will switching providers cost more?
Not necessarily. Many practices are on old contracts with outdated pricing. We compare current options side by side so you can see the cost before you decide.
