AI Automation Services

AI Automation Services, Implemented Without the HIPAA Guesswork

AI tools can cut hours of administrative work out of a medical practice's week. We help you adopt them the right way — with signed BAAs, documented policies, and real review before anything touches a patient record.

What's included

AI adoption, with the diligence done up front

We focus automation on the areas with the clearest time savings and the least compliance risk first, while making sure any tool that does touch patient data is properly vetted before it ever goes live.

Intake & Scheduling Automation

Automate appointment reminders, intake forms, and routine scheduling requests without adding staff workload.

HIPAA-Aware AI Tools

We vet AI vendors for signed Business Associate Agreements and proper data handling before anything is deployed.

Workflow & Admin Automation

Repetitive admin tasks, from document routing to data entry, get automated so your staff can focus on patients.

Why it matters

AI adoption in medical offices is moving fast — faster than most vendors' HIPAA diligence

AI scribes and automation tools went from a novelty to mainstream adoption in a single year, and the time savings are real: tools that cut documentation time by even a fraction of what vendors claim can mean the difference between a physician going home on time and staying late every night to finish charts.

The risk isn't the technology itself, it's skipping the vendor diligence that has to happen before an AI tool ever processes a patient conversation or touches PHI. A consumer-grade AI subscription is not automatically covered by a Business Associate Agreement, and a scribe tool that isn't integrated under your EHR vendor's existing BAA needs its own signed agreement, its own security review, and a documented policy on physician review before any AI-generated note is finalized.

We help practices get the benefit of these tools without inheriting that risk: confirming the right account tier and BAA are in place, setting a clear internal policy on what can and can't be entered into an AI tool, and building automation for scheduling and admin workflows where the compliance bar is lower and the time savings are just as real.

We support this same approach for practices across Palm Beach, Broward, and Miami-Dade counties today, and we're extending it into Osceola County and the greater Central Florida area as we grow there.

What our clients value
  • Vendor diligence done for you — we check for a signed BAA and real security posture before any AI tool is approved for use with patient data.
  • Policies your staff can actually follow — a clear, written line between what's safe to put into an AI tool and what isn't.
  • Automation where it's genuinely safe — scheduling, reminders, and admin workflows automated first, since they carry far less compliance risk than clinical documentation.

Questions about AI Automation Services, Implemented Without the HIPAA Guesswork

Can our staff use free ChatGPT or Claude at work?
Only for tasks with zero patient information, like drafting a generic handout. Free consumer accounts aren't covered by a BAA, so PHI should never go into them.
Does paying for a Plus or Pro plan make it HIPAA compliant?
No. Both major AI providers state that individual consumer paid tiers still aren't covered by a Business Associate Agreement; only business-tier or API accounts with a signed BAA qualify.
Do AI scribes need patient consent?
In many cases, yes — a documented consent conversation, not just a waiting-room notice, is becoming a standard expectation for AI-assisted recording and documentation.
Who's responsible if an AI-generated note is wrong?
The signing physician, regardless of how the note was drafted. That's exactly why we recommend a policy requiring a human review step before any AI-assisted note is finalized.
